The position supports the Maintenance Planners with the ordering of non-stock parts and arranges outside contractors to perform work in concert with the Maintenance Work Schedule and assures all parts, materials and supplies are on hand so that the work maybe scheduled. Within each of the three Spruance businesses, there are two Material Coordinators and six Planners. This position report to the Unit/Business Maintenance Manager.

Roles, Responsibilities and Expectations:

  • Taking direction from the Maintenance Planners, prepare purchases requisitions (MRO requests for item not in SAP) and place orders for parts, materials and external services in concert with the area maintenance schedule of work.

  • Taking direction from the Scheduler, assure external resources, stores parts, materials, special tools and externally purchased parts are available to meet the work schedule for the area.

  • For machine parts that are often purchased but do not have a Bill of Materials (BOM), provide the needed information to the Site SAP Team to create the required BOM’s

  • As appropriate to meet the needs of Daily/Weekly Maintenance Schedule and the direction of the Operations Maintenance Gatekeeper, authorize and execute the expediting of spare parts and materials.

  • As dictated by the Business Needs and working with the Purchasing Group, establish blanket purchase orders and material contracts as appropriate and to expedite the ordering of parts and services.

  • Remain current with the Operations Maintenance Gatekeeper’s Four Week “Look-A-Head Schedule” such that material and external personnel resources are known and are made available on time.

  • When appropriate, request the SAP Team to set up new stores stocked parts, having supplied the Team with all the required information.

  • Handle the shipping and off-site repair of equipment that requires rebuilding/refurbishing and maintain an inventory and storage area for these pieces as appropriate.

  • Attend the daily Operations/Maintenance Scheduling Meeting.

  • Follow-up with Purchasing to assure materials have been ordered and have been received or will be received with a high degree of certainty based upon required timing to meet the Business Needs and the Maintenance Schedule.

  • Once materials and spare parts are received, inspect and confirm that the materials are correct (based upon pipe, valve codes, part number etc.) and in the appropriate quantities. Having done so, enter the Site CMMS and code the appropriate work orders as RTS “Ready-to- Schedule”. The Work Order status is changed only when all the materials are on Site and all kitted materials, parts and supplies are staged in the area and any external resources are available for work as per the Schedule

  • Coordinate the storage and staging of received materials with the Kitting Personnel, for both stocked and non-stocked parts.

  • As required request, corrections, alterations and or updates to the Bills of Material (BOM’s) in the Site CMMS based upon feedback from Planners and the Scheduler and or from the Enabler-4.15 Written Work Order Evaluation Form, in conjunction with the responsible Area Reliability Engineering Personnel.

  • Provide daily direction and coordination for Kitting Personnel to stage material for work order execution based upon the Daily and Weekly Site CMMS work schedule.

  • Source contracted specialty services/crafts based on the needs as outlined in the Operations Task List of the work order contained in the Maintenance Planners Job Package.

  • Handle material and contract service needs for all emergency work orders, based upon the direction from the Maintenance First Line Supervisor.

  • Attend the monthly meeting for Non-Scheduling Compliance held by the Operations Maintenance Gatekeeper, to reduce non-value adding time incurred because of Parts, Services and Materials issues.

  • Manage in area critical machinery spares in SAP

Qualifications

Required Qualifications:

  • High School diploma or GED equivalent

  • 5+ years of industrial or military or technical /trade degree or equivalent experience in maintenance

  • Operate computers and software systems to input data into a Computerized Maintenance Management System (SAP)

  • Experience working in a Union Environment

  • Ability to function and work in a highly matrixed organizational structure

  • Demonstrated ability to communicate well through written, verbal, and listening skills.

  • Good organizational and planning skills are necessary to safely and efficiently complete fast paced multi-tasked assignments. These jobs may be as an individual or as a member of a team.

  • Demonstrated knowledge of maintenance processes including planning and scheduling, use of computerized maintenance management software. (SAP)

  • Previous experience working in a Maintenance Work Management Process
